Travel and Accomodations for Performer/Lecturer

Many performers/guests/lecturers will request a stipend or reimbursement for hotel, food and travel. While it is not mandatory that we do this for everyone, we will often accommodate these requests. Remember to negotiate toward a reasonable fee.

Hotel – RISD has an arraignment with the Providence Biltmore for $93.00/night. To book this for a visiting performer/artist, please see your club advisor. 

Food – Often we will pay for a visitor’s meals during their stay. Many times organization leaders or event managers will take the performer out to dinner after the event with a few students. Only the performer’s and organization members’ meals should be paid for with organizational funds. Any other meals will have to be covered by the individual dinner guests.

There are two ways meals can be paid for:

1. All meals are purchased by the event manager for the performer using the CSI credit card or

2. Performers can purchase their own meals and turn in receipts to be reimbursed by CSI. Without a receipt, there is no way to reimburse anyone. Be sure to account for all of these possible expenses in the budget. Remind performers what the food budget is – anything over that will not be reimbursed.

Travel – Often we will pay for a performer’s travel expenses. . There are two ways travel can be paid for: 1. The event manager and performer coordinate to pay for travel using the CSI card or

2. Performers can pay for their own travel and turn in receipts to be reimbursed by CSI.. Without a receipt, there is no way to reimburse anyone. Be sure to account for all of these possible expenses in the budget. Remind performers what the travel budget is – anything over that will not be reimbursed.
